Location: Hybrid working - home/offices in Twickenham

Hawk Training is an Ofsted ‘Outstanding’ training provider with 30 years’ experience in the work-based learning sector. Our operation is nationwide, with our apprenticeship delivery taking place both on the sites of our employer partners and online, directly into the homes and workplaces of our apprentices.  

We are currently recruiting for an Administrator to provide fast-paced general administration and customer service support (internal and external stakeholders) to our Business Development team and a quality service to both individuals and organisations.

Duties

Administrator

  • Organised, hardworking and can work effectively as part of a team in accordance with the organisation procedure  
  • First point of contact within the department 
  • Ensure that all learners and Line managers receive appropriate guidance on their next steps in training, education and employment 
  • Ensure learner eligibility is confirmed prior to undertaking the Information, Advice and Guidance process 
  • Strong IT and communication skills 

Diary Co-ordination

  • Liaising with internal and external stakeholders to organise booking to ensure timely completion of learner enrolment. 
  • Accurate information provided in diary invite to all parties. 
  • Professional and confident manner with the ability to engage with people at all levels. 

Maintain quality of provision

  • Undertake a quarterly Performance Quality Review, ensuring minimum levels of performance are met and exceeded. 
  • Adhere to a policy of continuous improvement to raise all aspects of quality and performance in the provision for employers and learners. 

 Effective Teamwork

  • Work as a member of the Business Development Team to achieve minimum levels of performance (MLPs) relevant to your job role.
  • Support Business Development Account Managers and other managers in preparation for meetings including, learner feedback, marketing packs and PowerPoint presentations.

Maintain accurate data and records

  • Ensure internal Client Relationship Management System is updated and applicant tracker records are always accurately maintained.

Develop and maintain own sector Knowledge and skills

  • To continually update professional knowledge and skills and acquire competencies to ensure your approach to your role adheres to the most recent developments current and future.
  • Undertake Continuous Professional Development and work towards professional qualifications as required.

Essential criteria

  • Minimum Level 2 in English and Maths
  • A minimum of 1 year’s current experience working in a fast-paced administrative role
  • Proficient in the use of Microsoft Office / IT
  • Excellent communication skills both verbal and written
  • Personable and friendly
  • Ability to work in collaboration with others
  • Excellent organisational and administrative skills
  • Punctual, reliable and flexible
  • Ability to work effectively under pressure and unsupervised
  • Accurate and efficient data entry skills
