Job Summary

We are looking for motivated, personable, and driven individual, with a demonstrable background in budget management, procurement, department payroll, contract negotiation and tendering processes.

Duties

Main Responsibilities

  • Responsible for budget planning, preparation, forecasting, and reporting.
  • Responsible for the day-to-day management and administration of the CWML security finances.
  • Preparation and administration of annual services charges, accruals, cross charges, invoice processing, raising purchase orders, reconciliation, and payroll, with a clear focus on achieving value for money.
  • Providing the senior management team and internal stakeholders with relevant, timely and accurate advice and guidance on budgeting matters relating to the security department.
  • Work collaboratively with the Accounts, IT and People & Development departments to support the implementation, integration and development of company or departmental finance or payroll systems.
  • System administrator for the department workforce management system.
  • Oversee the formulation and implementation of appropriate security shift systems to support the operational requirements of the department.
  • To prepare, as required, the hours of work schedule, holiday schedule and other data relating to absence management for a department of 250+ staff, together with payroll information for the People & Development Department, producing reports when required.
  • Direct management responsibility for two members of staff: The Roster and Support Administrator & Finance Administrator.
  • Continuously review the contracted performance, to include hours worked and invoices presented, of any security companies contracted to the CWML security department.
  • To lead negotiations with suppliers for the provision of services and equipment, identifying risk in supply chains and carrying out due diligence in line with organisational procurement processes.
  • Responsible for the purchase, control, security, and maintenance of company assets, including clothing and equipment, allocated to the security department.
  • Review and prepare tenders for the provision of security services, and administer tenders as required.
  • Maintain and promulgate, as appropriate, information and data on the performance of the security department as required.

Essential criteria

Person Specification

  • The applicant must be able to demonstrate recent experience in budget management and accountability in a leading business.
  • Strategic awareness, business acumen and a pragmatic approach to decision making.
  • Advanced computer literacy, including MS Excel and Word. (Experience with Yardi would be advantageous).
  • Experience of tendering and contractual preparation and processes.
  • The position will require an SIA non-front line licence (provided).
  • Excellent negotiation and influencing skills and the ability to establish and maintain effective working relationships.
  • Experience in procurement and resource management desirable.
  • Experience within a similar role within the security industry would be advantageous.
  • Must have the ability to work to deadlines and work under pressure.
  • Individuals should demonstrate self-discipline, sound judgment, confidence, decisiveness, and teamwork.
