Duties

Role Overview

This is an important role that supports the delivery of objectives across Document Control team on the Tideway project as part of a Level 3 Business Administration apprenticeship programme.

-Document Controllers provide a document management service for the projects to which they are assigned in a robust, reliable and timely manner, using appropriate electronic systems-.

The position requires an individual with the capability to passionately take on this role and the associated business administration apprenticeship. Lasting 18 months, the apprenticeship seeks to develop the candidate’s administrative, communication and management skills.

Through addressing the principles of administration and legal contexts of the business, we will begin by providing an understanding of the construction industry. Tideway’s specific principles, such as its emphasis on workplace equality, will then be introduced, as we demonstrate what it means to work on this impressive project. A combination of workshops and hands-on learning will draw the apprenticeship to its final phase, providing the successful candidate with an insight into how business performance can even be improved.

The candidate will be representing Ferrovial, one of the world’s leading infrastructure operators committed to developing sustainable solutions to the industry’s challenges.

Responsibilities

Job role specifics

• Assist in production and approval of project collaboration protocols document

• Maintain project collaboration tool administration area

• Assist LOR Design Team to ensure accurate distribution of information, management of comments and approval cycle and ensure project deadlines are met

• Carry out QA checks on all published information/documentation in accordance with EDMS project protocols

• Resolve drawing/document issue queries

• Scan and upload documents where required

• Receive/check/distribute documents in accordance with project procedures/distribution matrix

• Provide project related help and support to all project users, internal and external

• Liaise with collaboration tool vendors on regular basis on all software issues

• Produce all reports in accordance with project requirements, both internal and external

• Co-ordinate, arrange, record and review all project collaboration tool training requirements.

The Tideway Project

River Thames is at the heart of London, but in recent years it has been largely overlooked.

Tideway wants to change that. We are recruiting talented people to help us deliver our ambition of re-invigorating a much under-used social, environmental and economic asset.

Ferrovial Agroman and Laing O’Rourke’s Joint Venture -FLO, lo is delivering the central section of a new 25-kilometre tunnel. Wide enough to fit three double decker buses side-by-side, the tunnel aims to protect the tidal River Thames from the tens of millions of tonnes of sewage pollution that is currently discharged into it each year. Through intercepting overflow points built into the capital’s overstretched, Victorian sewerage network, Tideway will take all overflow directly to the sewage treatment works in Beckton, east London.

The Tunnel is among the largest construction projects of its type. Main construction work began in 2016 and is due for completion by 2024. One of our tunnel boring machines has completed its journey going west, while the other is making significant progress going east.

Essential criteria

Experience & Knowledge

Details of experience and knowledge:

• Previous experience of working in an administrative role is desirable but not essential

• Excellent attention to detail

• Good working knowledge of Microsoft Office suite

• Knowledge of collaboration/EDMS systems (desirable but not essential).

• Ability to accurately follow instructions

• Good interpersonal and communication skills

• Ability to deliver tasks and work to deadlines

• Commercial awareness

• Confidence and ability to establish effective working relationships

Qualifications & Skills

General Skills and Qualifications:

Good communication skills verbal and written Good knowledge of MS Office Packages specifically Excel.

Specific Qualifications:

5 GCSEs grade 4-9, including English and Maths Science GCSE would also be valued.

A Levels or BTEC level 3
