About the Role

You will work closely with IRMO’s staff to recruit, interview, and induct new volunteers for vacancies across all projects and activities following IRMO recruitment procedures and volunteer policy. You will provide inductions to new volunteers, ensuring they understand all relevant policies, including safeguarding and confidentiality. You will also be responsible for supporting volunteers and organising social, and team-building activities for them. You will recruit students to do their work placement at IRMO and build on the existing network of UK and EU partner universities or agencies. You must be detail-orient at ed and organised. You must also be outgoing and communicate effectively with a variety of people. You must adhere to the values of IRMO and convey its purpose to others.

Duties

Key Duties & Responsibilities

Project Delivery

● Recruit, shortlist and interview new volunteers, including students for work placements and corporate volunteers

● Prepare orientation materials for new volunteers, including handbooks, programmes, and kits

● Prepare and carry out regular volunteer induction

● Ensure IRMO’s policies are read and understood by volunteers; with a particular focus on confidentiality, data protection, health and safety and safeguarding

● Regularly update volunteer recruitment platforms and look for new and effective ways to advertise IRMO’s volunteering positions

● Attend volunteer fairs and meetings with partners and universities

● Support volunteers and organise social and team building activities for them

● Review, develop and maintain appropriate policies with reference to volunteers and volunteering

● Cultivate a positive and supportive atmosphere by recognising volunteer efforts and achievements

Monitoring & Evaluation (M&E)

● Maintain a database of volunteers and track metrics

● Create surveys and feedback forms to monitor volunteers’ expectations and level of satisfaction and monitor volunteers' experience through entry and exit interviews

● In consultation with team managers, schedule volunteer reviews to ensure the work of volunteers is monitored and evaluated, and that records are uploaded to the volunteer database to support any future reference requests

● Present regular reports and metrics to manager or Director

HR

● Attend regular training and development opportunities according to the Training Development Plan

● Attend regular supervision, stand-up, area and team meetings at IRMO as required

Communication

● Review and update IRMO’s Volunteering webpage and Volunteer database on a regular basis

● Communicate regular ly with managers and relevant members of staff about their volunteering needs so that recruitment and retention can be undertaken efficiently and effectively

● Communicate with volunteers to assess their satisfaction or to share news and updates

● Link with team managers to conduct performance evaluations Communicate with partners to promote IRMO and the volunteering programme, share vacancies available and develop agreements to host work placements and volunteers

● Create and share relevant information through IRMO’s communication and social media channels.

● Undertake any other work, consistent with the purpose of the post, as directed by the Programme Manager.

Essential criteria

●Excellent verbal and written communication skills in English and Spanish (E), Portuguese (D)

● Ability to model a welcoming and inclusive approach and effectively communicate IRMO’s mission, values and policies and procedures to volunteers (E)

● Ability to apply equal opportunity principles when recruiting new volunteers (E)

● Competence in Google Workspace (formerly G Suite), online video conferencing tools (Zoom, Skype, Google Hangout Meets), Word, Excel, PowerPoint (E)

● Excellent organisational skills and attention to detail (E)

● Ability to cope with pressure and manage own time and workload so that deadlines are met (E)

● Ability to apply innovation and creativity to solve problems and improve systems in use (E)

● Ability to work collaboratively with colleagues who have diverse skills and talents, sharing ideas, improving each other’s work and working together to deliver agreed programme objectives. (E)

Experience

● At least one year’s experience working as a volunteer coordinator or similar position (E);

● Experience in using M&E tools, collecting baseline and progress data and contributing to impact reports (E);

Knowledge

● Understanding of issues facing Latin American migrants in the UK (E)
