The Role

The East Wintergarden is a multi-purpose venue situated in Canary Wharf. East Wintergarden is hired out to both corporate and private clients for a range of uses including conferences, parties, dinners, award ceremonies, exhibitions, and product launches.  It is also used for events that are programmed by other departments within the Canary Wharf Group such as Arts and Events and Community Team. The Events Co-ordinator is responsible for the sales and events taking place in East Wintergarden, to be proactive in winning new business and retaining existing clients. To assist the Manager in the day to day running of East Wintergarden including:

Duties

Main Responsibilities

  1. Assisting with sales enquiries for the East Wintergarden and technical production and to proactively sell prospective clients the venue if required.
  2. Maintaining the bookings diary CRM system and ensuring that maximum sales are achieved by use of the venue.
  3. Inputting the enquiries and maintaining the CRM booking system, ensuring that the client’s details are entered.
  4. Co-ordinating the logistics of each event with the client, internal departments, and outside contractors. Hiring where necessary additional facilities and products.
  5.  To request information relating to catering commission from caterers, as necessary.
  6. Book event staff, such as cleaning janitors, door security and stewards, monthly where required and requested and update Outlook, as necessary. 
  7.  Preparing all necessary paperwork for each event to include health and safety paperwork.
  8. To act as Duty Manager for the venue for both private and public events.
  9. To be responsible and prepare as necessary and when required any minutes arising from meetings- including ordering and servicing any venue equipment.
  10. To be aware, maintain and implement the laws that govern East Wintergarden:

  • The Licencing Act 2003
  • Entertainment Licencing
  • Food Safety Act 1990
  • Health and Safety at Work Act
  • Equality Act 2010

11.  To provide accounts with all necessary information, POR, invoices, and event summaries.

12.   Assess the general cleanliness of the venue and of any equipment used, as well as the general working order of any equipment used and report any faults to the Manager.

13.   Reporting all insurance cases and claims and following up where applicable.

14.   To carry out any additional duties or projects as required.

15.   To comply with office and company procedures.

16.   The incumbent must have an appreciation of the importance of customer service and how this is applied in the context of Canary Wharf.

Essential criteria

  1. A recent graduate in Events Management is desirable.

  2. Relevant experience of Event Management in either a major venue/hotel or conference company, not essential.

  3. The incumbent must have the ability and confidence to run large events and have Duty Management experience.

  4. It is desirable that the post-holder has strong sales combined with a keen business sense.

  5. The incumbent must be computer literate; able to work under pressure and meet tight deadlines.

  6. The candidate must be self-confident and have an outgoing personality.

  7. Excellent written and oral communication skills are essential.

  8. There will be a requirement for the incumbent to work late nights and weekends.
