The Vertus team manage all aspects of the Build to Rent assets on the Estate, as well as the initial management during the final construction programme and handover period.

The team are based on site and comprise a core group of experienced specialists and individual building management members, dedicated to the leasing and management of both the building and the apartments. This team have a comprehensive track record of delivering excellent service and are dedicated to meeting the needs of their customers and residents.

The Vertus team is dedicated to providing a superlative service to residents, 24 hours a day and 365 days per year.

Duties

JOB SUMMAR

The Property Manager will support the Residential Building Manager in effective and efficient property management of the residential buildings within the Vertus portfolio.

The role will entail supervision of staff, contractors and other users of the buildings to ensure an exceptional quality of management is provided. Also acting as the main point of contact for the residents living in the building when the Residential Building Manager is absent.

The Property Manager will work alongside the RBM and Head of Facilities and is supported by the Vertus Senior Management team. The role may from time to time involve providing cover for other members of the site or management team.

MAIN RESPONSIBILITIES

• Checking and preparing properties for new tenancies.

• Ensuring all properties have a valid Gas Safety, EICR, EPC and PAT.

• Arranging pre tenancy works in relation to special clauses agreed at offer point and ensuring timely completion.

• Assist in arranging the apartment inventories and check ins.

• Preparing management information forms and transfer all information onto the Vertus Management System.

• Preparing welcome packs for the tenants including copies of manuals.

• Where needed meeting new tenants at the start of the tenancy.

• Oversee any snagging issues and dealing with through the facilities team.

• Set up of utilities.

• Operate the building helpdesk and deal with day to day property maintenance issues.

• Ensure Planned maintenance tasks are scheduled and carried out according to Statutory Compliance responsibilities.

• Invoice management and processing purchase orders.

• Supporting the Facilities team in obtaining competitive quotations for any tasks that require contractor works.

• Organise renewal of safety certification and remedial works during the tenancy.

• Scheduling mid-term property visits in line with our tenancy agreement with our residents.

• Prepare mid-term reports for the business and feedback to the tenant if a breach has been noted.

• Managing end of tenancy matters to include liaising with the leasing and building management team.

• Assist in the negotiation of rent arrears and distribution of end of tenancy deposit.

• To promote and implement sustainability initiatives as directed by Canary Wharf Group.

• Provision of effective response to emergency queries out of normal office hours to include attending site if appropriate.

• To carry out other reasonable duties as instructed and directed as required.

Essential criteria

1. A good overall education to ‘A’ Level / NVQ Level 3 or 4 standard or equivalent (to include English & Maths).

2. Minimum of 2 years’ experience in a residential property management position is essential, with experience of working within a high end customer services environment. IRPM Level 2 is required (or working towards this).

3. Basic knowledge of Building Management Systems.

4. An understanding of the principal aspects of legislation, relating to the management of Residential Property Law.

5. Knowledge of COSHH and RIDDOR and carrying out risk assessments, together with a working knowledge of Health and Safety requirements and legislation.

6. Willingness to undertake further training as required.

7. Ability to manage own time and multiple tasks effectively, working autonomously and using own initiative.

8. A commitment to teamwork and the ability to function as part of a team is necessary.

9. Ability to communicate effectively, verbally and in writing, and to understand and produce materials of a professional nature in line with required deadlines.

10. Ability to form positive relationships with and between residents, staff, contractors, representatives of outside agencies and other Canary Wharf Group employees.

11. Able to build a rapport and to maintain objectivity when dealing with residents and to maintain a courteous and professional attitude in all situations.

12. Excellent IT skills.

13. Willingness to be adaptable and to accept the evolution of the role as the estate develops.
